• Greet and welcome clients as soon as they arrive at the office, ensuring they feel comfortable and valued • Direct clients to the appropriate lawyer or office within the firm • Answer, screen, and forward incoming phone calls while providing basic information when needed • Maintain office security by following safety procedures and controlling access via the reception desk • Receive, sort, and distribute daily mail and deliveries • Schedule and confirm appointments, manage calendar for attorneys • Ensure the reception area and all common areas are tidy and presentable, with all necessary stationery and material • Perform administrative tasks, such as filing, photocopying, transcribing, and faxing • Process client payments and maintain financial records • Assist with legal document preparation as required • Order office supplies and keep inventory of stock Requirements • Proven experience in a receptionist or administrative support role, preferably within a professional services environment. • Strong communication skills with the ability to interact professionally with diverse clients and staff. • Proficiency in office management tasks, including calendar scheduling, data entry, and document preparation. • Excellent organizational abilities with a keen attention to detail and the capacity to manage multiple priorities. • Familiarity with standard office equipment and software, including filing systems and communication tools. • A commitment to maintaining confidentiality and adhering to security procedures. • The ability to work independently and collaboratively within a fast-paced legal setting.
