The Role The Financial Services Representative (FSR) is a key member of our patient support team, responsible for managing insurance benefits, pre-authorizations, and financial clearances for patients undergoing fertility treatments. Working closely with clinical staff, insurance providers, and our Central Billing Office, you'll ensure patients have a clear understanding of their financial options so they can focus on what matters most. What You'll Do Manage pre-certifications for fertility treatments and procedures, including IUI, IVF, TESE, MESA, FET, embryo biopsy, donor embryo cases, and gestational carriers. Verify insurance benefits and communicate coverage details and self-pay options clearly to patients. Obtain authorizations for diagnostic tests such as HSG, sonohysterograms, semen analysis, MRIs, ultrasounds, and endometrial biopsies. Provide financial counseling to patients, including discussion of treatment costs, co-pays, and payment plan options. Communicate financial clearance status to clinical staff via Athena and ReSource systems. Monitor patient accounts for billing accuracy and follow up on outstanding balances in a timely manner. Schedule and pre-certify surgical procedures, coordinating all pre- and post-operative visits with surgical centers and insurers. Partner with the Central Billing Office to resolve authorization issues and process refunds. Maintain accurate patient consents and financial documentation in compliance with HIPAA standards. Support onboarding and training of new FSR team members as needed. What We're Looking For 1–2 years of experience in healthcare insurance, medical billing, or financial services within a provider setting. Strong understanding of medical insurance processes, pre-authorization workflows, and patient financial counseling. Proficiency in CPT and ICD-10 coding. Experience with electronic medical records (EMR) and medical billing software. Excellent communication and customer service skills, with the ability to explain financial obligations clearly and compassionately. Strong organizational skills and meticulous attention to detail. Schedule This position is full-time with standard 8:00am-4:30pm hours Monday- Thursday and Fridays are 8:00am-12:00pm, with occasional weekend needs. The role is based on-site in Pensacola, FL.
