Operations Associate Location: New York City | In-office The Mission “Leading healthcare into the agentic era.” Every day, patients call their clinic to schedule an appointment, ask a question, or request a prescription refill. Behind each conversation is a busy healthcare team coordinating people, information, and systems. Taxo builds Voice AI agents that take on this administrative work. Our agents connect with EHR and practice management systems to help teams handle patient intake, complex scheduling, and refill requests, with reliable workflows and clear handoffs to people. The Opportunity: Support Leadership and Company Operations As our Operations Associate, you’ll work closely with leadership to keep day-to-day company operations running smoothly. You’ll handle coordination and administrative support, and own defined projects with clear outcomes and deadlines, from research and preparation through completion. We’re looking for someone who notices what needs doing, brings order to the details, and follows through. What You’ll Do • Keep Priorities Moving: Work with leadership to organize priorities, track commitments, and move defined projects forward with clear owners, deadlines, and deliverables. • Coordinate the Details: Provide daily coordination and administrative support: schedule meetings, prepare agendas and materials, capture decisions, and follow up on next steps. • Research and Prepare: Research questions, compare options, and turn findings into clear summaries that support decisions. • Support Company Operations: Help with recruiting coordination, employee onboarding, vendor administration, and other internal company operations as priorities evolve. • Keep Information Clear: Prepare and maintain documents, presentations, spreadsheets, and project trackers. • Close the Loop: Coordinate with colleagues and external contacts, flag blockers early, and improve recurring processes. Who You Are • The Organizer: Strong organization and follow-through, with the ability to manage several priorities at once. • The Communicator: Clear written and verbal communication and confidence coordinating with different teams. • The Trusted Partner: Good judgment, discretion, and care when handling confidential company information. • The Problem Solver: Resourcefulness and the ability to take an open-ended task, clarify what matters, and carry it through. • The Practical Operator: Comfort working with documents, spreadsheets, calendars, and collaboration tools. • The Adaptable Teammate: A practical, adaptable approach and willingness to help with both detailed administrative work and broader projects. • Bonus: Experience in operations, project coordination, business support, or an assistant role; startup experience; thoughtful use of automation and AI tools. Why Taxo Healthcare teams should be able to spend more time on patients and less time on administration. Help us build the products and company that make that possible. • 🤝 Work Close to Leadership: Work closely with leadership and contribute across the company. • 🛠️ Broad, Practical Ownership: Take responsibility for real work, from detailed coordination to cross-functional projects. • 🏥 A Mission with Purpose: Help the team building tools to reduce healthcare’s administrative burden. Compensation Base salary: $75,000–$95,000 USD annually Equity: 0.02%–0.05% Benefits: Health coverage How We Work Taxo is a small, fast, high-conviction team. We care deeply about the problem, move with urgency, and take ownership of the work. We collaborate closely, make practical decisions, and keep improving through what we learn from customers. If you’re resourceful, organized, and enjoy helping a team get things done, we’d love to hear from you.
