Full description
Nonprofit research center is seeking a Part-Time Bookkeeper.
Hours/Schedule: Up to 15 hours per week
Job Type: Part-time, hourly
Location Requirements: Remote, in the DC or Boston areas
Rate: $35/hour
Work Environment & Culture:
• The organization holds itself to three principles in everything it produces: accuracy, transparency and impact. This role puts those principles into practice in its finances.
• Accuracy you can stand behind, and the habit of asking a clear question when something doesn't match.
• Clear written communication with staff, vendors and international partners.
• Discretion with confidential financial and personnel information.
Job Description: The organization is hiring a detail-driven bookkeeper to keep its books accurate, current and audit-ready. You will own the day-to-day financial record of a small, fast-moving research organization and partner closely with the Fractional CFO and Director of Operations. This role reports to the Director of Operations. Its work is funded by foundation and corporate grants, event sponsorships and individual giving. That model means clean, restricted-and-unrestricted tracking by project matters every day. Tools used include Bill.com, Rippling, Google Workspace and QuickBooks Online.
Responsibilities:
Transactions and Payables
• Record and categorize all bank, credit card and deposit activity by account, project and funding source.
• Process vendor invoices, contractor payments, reimbursements and honoraria through Bill.com, routing each for approval.
• Match receipts and backup to every transaction and follow up on anything missing.
• Track incoming grant payments and donations and tag them to the right project.
Month-End Close
• Reconcile operating, credit card and money market accounts each month.
• Prepare a monthly transaction review for the Director of Operations, flagging duplicates, miscodes and open questions.
• Close the books on a set schedule so the Fractional CFO can produce monthly reports.
Payroll and Benefits Support
• Reconcile payroll, benefits and 401(k) contributions from the payroll platform (Rippling) to the general ledger.
• Supply census and payroll records for retirement plan testing and filings.
Audit, Tax and Compliance Support
• Keep records organized and audit-ready year-round.
• Pull schedules and documentation for the annual audit and Form 990 preparation.
• Maintain vendor W-9s and support year-end 1099 filing.
Systems
• Help automate how expenses flow into project budgets, replacing manual updates.
• Keep the chart of accounts and project tags consistent across systems.
Qualifications:
Required
• 3+ years of full-cycle bookkeeping, ideally for a nonprofit or grant-funded organization.
• Working knowledge of fund accounting: restricted vs. unrestricted funds and tracking by project or grant.
• Hands-on experience with QuickBooks Online (or similar), Bill.com and Excel or Google Sheets.
• Comfort reconciling payroll and benefits data from platforms like Rippling.
Preferred
• Audit-preparation experience.
• Familiarity with Form 990.
• An interest in automating manual workflows.
