We've been serving New Jersey since 2012 and pride ourselves on providing exceptional service while maintaining a professional, team-oriented work environment. We are looking for an experienced, organized, and motivated Accounts Receivable / Payable & Collections Specialist to join our team. The ideal candidate has experience in the property restoration, construction, or insurance claims industry and understands the financial processes associated with insurance carriers and Third-Party Administrators (TPAs). This is a hands-on position for someone who enjoys problem-solving, takes ownership of their responsibilities, and understands the importance of getting invoices paid, maintaining accurate job costs, and keeping financial records organized. Key Responsibilities Accounts Receivable & Collections • Manage and monitor outstanding accounts receivable for mitigation and reconstruction projects. • Follow up with insurance carriers, TPAs, adjusters, mortgage companies, and customers regarding outstanding payments. • Ensure payment requests are submitted accurately and promptly through the appropriate TPA or insurance carrier systems. • Investigate and resolve payment delays, discrepancies, denials, and outstanding balances. • Maintain accurate collection notes, payment statuses, and AR aging reports. • Work closely with project managers and internal coordinators to resolve outstanding billing issues. • Identify delinquent accounts requiring escalation and coordinate appropriate collection actions. • Understand New Jersey construction lien procedures, including identifying accounts approaching critical deadlines and coordinating with management and lien service providers. Accounts Payable & Vendor Management • Enter and process subcontractor and vendor invoices in QuickBooks Online. • Review invoices for accuracy and verify charges against purchase orders, approved work, and project budgets. • Identify duplicate invoices, pricing discrepancies, and incorrect charges. • Ensure bills are entered accurately and assigned to the proper vendors and projects. • Monitor outstanding vendor invoices and assist with payment scheduling. • Communicate with subcontractors and vendors regarding invoice discrepancies and payment status. Job Costing & Financial Accuracy • Review and verify job-related expenses within Salesforce. • Ensure subcontractor invoices, purchase orders, and other project expenses are properly allocated to the correct jobs. • Identify missing expenses, incorrect cost allocations, and discrepancies between approved budgets and actual costs. • Coordinate with project managers to obtain clarification and correct job-costing issues. • Maintain accurate financial records to support project profitability reporting. TPA Payment Administration • Understand and follow the billing and payment requirements of insurance restoration TPA programs. • Ensure required invoices, payment requests, and supporting financial documentation are submitted correctly. • Follow up on outstanding TPA payments and resolve payment-related issues. • Communicate with TPA representatives, adjusters, and internal team members to address payment delays. • Work collaboratively with our existing TPA coordinators, who manage job files, documentation, and service-level requirements. General Administrative Support • Assist with routine QuickBooks bookkeeping and financial recordkeeping. • Maintain organized electronic records and documentation. • Support management and team members with general administrative responsibilities. • Assist with vendor communications, customer inquiries, and other office tasks as needed. Requirements Qualifications Required: • Minimum 3 years of experience in accounts receivable, accounts payable, collections, or a related financial administration role. • Experience in property restoration, reconstruction, construction, insurance claims, or a closely related industry. • Strong knowledge of AR/AP processes, collections, purchase orders, and job costing. • Experience using QuickBooks or similar accounting software. • Excellent organizational skills, attention to detail, and follow-through. • Strong communication and problem-solving abilities. • Ability to manage multiple priorities and work independently. • Proficiency in Microsoft Excel, Outlook, and general office applications. Highly Preferred: • Experience with insurance restoration TPA programs such as Contractor Connection, Alacrity Solutions, Sedgwick, or similar programs. • Experience collecting payments from insurance carriers, adjusters, and property owners. • Familiarity with Salesforce or similar job management software. • Knowledge of Xactimate, XactAnalysis, Symbility, or CoreLogic. • Familiarity with New Jersey construction lien processes and collection procedures. • Previous experience working for a restoration or reconstruction contractor. What Makes Someone Successful in This Position? We're looking for someone who doesn't simply send invoices and wait for payment. We want someone who takes initiative, investigates why payments are delayed, follows up consistently, and knows how to get issues resolved. The right person will be: • Proactive: Takes ownership of outstanding receivables and follows through until issues are resolved. • Detail-Oriented: Ensures bills, purchase orders, and job costs are accurate. • Organized: Manages multiple accounts and priorities without losing track of important details. • Resourceful: Knows how to investigate payment problems and find solutions. • Team-Oriented: Works well with project managers, coordinators, and leadership. • Flexible: Willing to assist with other administrative responsibilities when needed. • Accountable: Takes pride in accuracy, timely collections, and completing tasks. Why Join Restoration 1 New Jersey? At Restoration 1 New Jersey, you'll join an established restoration company with a collaborative team and an opportunity to make a direct impact on the business. We value employees who take initiative, work together, and contribute to the continued success of our company. What We Offer: • Competitive salary of $55,000–$65,000 annually, based on qualifications and experience. • Full-time, stable employment. • Supportive and team-oriented work environment. • Opportunities for professional growth and increased responsibilities. • An established company with a strong presence in New Jersey.
