This hands-on role will focus on proactively managing overdue balances through direct customer outreach, resolving account discrepancies, ensuring timely cash application, and maintaining healthy receivables. A key priority will be organizing and centralizing currently decentralized AR processes by establishing consistent procedures, improving reporting and visibility into outstanding balances, and strengthening collection practices and internal controls. Key Responsibilities: • Manage day-to-day AR operations across multiple entities, including invoicing, cash application, customer account maintenance, and account reconciliation. • Proactively manage collections by making calls, sending follow-up communications, and securing timely payment from customers. • Monitor AR aging reports, prioritize collection efforts, research overdue balances, and escalate delinquent or high-risk accounts as appropriate. • Investigate and resolve billing disputes, short payments, unapplied cash, and account discrepancies in partnership with internal teams. • Post cash receipts accurately and timely, ensuring payments are properly applied and outstanding balances are maintained. • Create and maintain accurate customer records in the ERP system, including billing information, payment terms, and tax setup. • Support customer credit reviews and help enforce established credit and collection policies to maintain reasonable receivable balances. • Maintain detailed collection notes, customer correspondence, and account documentation to support consistent follow-up and accountability. • Prepare and review AR reconciliations, aging reports, and supporting documentation for month-end close. Qualifications: • Bachelor’s degree in Accounting, Finance, Business, or a related field preferred; equivalent experience considered. • 5–8+ years of hands-on accounts receivable and collections experience, preferably in a multi-entity, multi-location, or decentralized organization. • Strong knowledge of the AR cycle, including invoicing, cash application, account reconciliation, collections, aging analysis, and customer account maintenance. • Demonstrated ability to make collection calls, follow up persistently on overdue balances, resolve disputes, and drive timely customer payments. • Experience managing high-volume receivables, prioritizing collection efforts, and maintaining accurate records across multiple entities. • Experience with ERP systems required; NetSuite experience preferred. • Proficiency in Microsoft Excel and the Microsoft Office Suite. • Strong analytical, organizational, and problem-solving skills, with excellent communication and customer service abilities. • Ability to work independently, manage competing priorities, and exercise sound judgment in a fast-paced, growth-oriented environment. • Proven ability to identify process improvement opportunities, establish consistent procedures, and support scalable AR operations.
