This role will ensure accurate and timely invoice processing, vendor account reconciliation, payment management, and professional vendor relationships while partnering with internal teams to resolve discrepancies and maintain strong financial controls. A key focus will be centralizing AP operations, standardizing processes, improving visibility into outstanding liabilities, and building scalable workflows to support growth. The ideal candidate brings strong technical AP knowledge, practical problem-solving skills, sound judgment, and the ability to identify opportunities for process, workload, and staffing improvements. Key Responsibilities: • Manage and actively participate in the daily processing of accounts payable across multiple entities, including invoice review, coding, approval routing, payment processing, and vendor account maintenance. • Reconcile vendor statements and accounts, investigate discrepancies, resolve unapplied credits, identify missing invoices, and ensure outstanding balances are accurate and properly addressed. • Monitor AP aging reports to identify overdue invoices, aged credits, payment issues, and other outstanding items requiring follow-up or escalation. • Manage payment schedules and priorities to ensure vendors are paid accurately and timely while coordinating with internal stakeholders on payment timing and cash availability. • Serve as the primary point of contact for vendors, managing inquiries, resolving disputes, researching payment status, and maintaining strong vendor relationships. • Investigate and resolve invoice discrepancies, duplicate invoices or payments, pricing differences, missing approvals, and other AP exceptions. • Maintain accurate vendor master data and ensure appropriate documentation and verification procedures are followed when establishing or modifying vendor records. Required Key Skills and Qualifications: • Bachelor’s degree in Finance, Accounting, or a related field, or equivalent experience. • 5–8+ years of hands-on accounts payable experience, preferably in a multi-entity, multi-location, or decentralized organization. • Strong knowledge of the full AP cycle, including invoice processing, GL coding, approval workflows, payment runs, ACH/wire payments, and vendor account maintenance. • Demonstrated experience reconciling vendor accounts, resolving discrepancies, researching outstanding balances, and managing aged payables. • Proven ability to manage high-volume AP workloads across multiple entities, prioritize competing deadlines, and maintain accuracy. • Hands-on experience with ERP systems such as NetSuite or similar platforms; familiarity with AP automation, OCR invoice capture, and approval workflow tools preferred. • Solid understanding of internal controls, audit readiness, documentation standards, reconciliation processes, and fraud prevention. • Strong analytical, problem-solving, and communication skills, with the ability to identify root causes and implement sustainable process improvements. • Excellent organizational and time management skills, with strong attention to detail and the ability to collaborate effectively with vendors, internal stakeholders, and finance leadership. • Ability to adapt to a fast-paced, high-growth environment, including acquisition integration, while enforcing policies and developing scalable AP processes.
