Done Right Hood & Fire Safety is looking for a dependable, organized Administrative Assistant to support our Plantation office. We provide commercial kitchen exhaust cleaning, fire suppression, mechanical services, and related maintenance. We need someone who communicates professionally, enjoys helping customers, and can handle multiple priorities while keeping paperwork and schedules accurate. Responsibilities • Answer inbound calls, assist customers, and route inquiries to the appropriate team member. • Schedule and confirm service appointments with customers and technicians. • Communicate scheduling changes and follow up on customer requests. • Prepare estimates and proposals using information provided by our service team. • Create invoices, assist with billing questions, and follow up on outstanding payments. • Print and organize work orders, service paperwork, and job documents. • Update customer records, job details, and schedules in our CRM. • Support daily office operations and coordinate with managers and field technicians. Qualifications • Previous administrative, customer service, or office support experience. • Strong phone etiquette and clear verbal and written communication. • Excellent organization, attention to detail, and follow-through. • Comfortable using email, Microsoft Office, and scheduling or CRM software. • Ability to work independently and manage a busy workload. • Experience with ServiceTrade, QuickBooks, or a service company is a plus.
